Privacy Policy
How Varcbytes handles personal data when you use Varcmail.
Information we process
We process the mailbox address and credentials needed to authenticate you. Passwords are stored as password hashes, not readable passwords. We also process email headers, message bodies, labels, attachments, delivery state, contacts derived from messages, session records, and service logs needed to operate Varcmail.
Your browser may store display preferences, saved account identifiers, and locally created templates on your device.
- Account and authentication information
- Email content, recipients, senders, and attachments
- Mailbox actions such as read, starred, labels, archive, spam, and trash
- Technical information such as IP address, browser information, timestamps, errors, and security logs
Why we use it
We use this information to provide, secure, maintain, troubleshoot, and improve the email service; deliver notifications you enable; prevent abuse; and comply with applicable legal obligations. We do not use message content for advertising.
Service providers and disclosures
Information may be handled by infrastructure, database, object-storage, email-delivery, security, and support providers acting for the service. Google Analytics receives limited website usage data in production as described in the Cookie Policy. We may disclose information when required by law, to protect users or the service, or as part of a business reorganisation subject to appropriate safeguards.
Retention and security
We retain information for as long as needed to provide the service, meet contractual and legal requirements, resolve disputes, and maintain security. Retention may also be controlled by your organisation. We use access controls, encrypted connections where supported, password hashing, private attachment storage, and operational monitoring, but no system can guarantee absolute security.
Your choices and rights
Depending on applicable law, you may request access, correction, deletion, restriction, portability, or object to certain processing. Your organisation may administer your business mailbox, so some requests may need to be directed to that administrator. Browser controls can block or delete analytics cookies.

- Disable browser notifications in Settings or your browser
- Do not include passwords or message content in support requests unless necessary
